Cy-Fair Winter Guard show:
Children of the Ruins
Props and floor mat fabrication/planning web discussion
Last Updated: (Eastern time)

This is our central place to voice opinions, inputs, suggestions and to report what you know on the show planning progress and equipment creation. This is a private web page for this project where we can all monitor ideas and progress updates and contribute our own. The web page contains the latest and a history of previous discussion items, pictures, etc. and a web form you fill in and then click Submit. Use email if you have to, but try to keep the site updated so all can see. You never know whether your thoughts/inputs will trigger a great idea by someone else. What you entered on the form will be added to the page right below the form. The older a post is, the lower it gets so “the latest” is at the top. When revisiting, read down until you see something familiar, then you’re caught up.  There are some choice boxes on the page to help organize the posts and spur conversation. Let’s make this a productive conversation. Please don’t just lurk in the background. Write something that comes to mind once you’ve read others inputs and seen the images, ideas. Then, we’ll all be/stay on the same page. We are all potential leaders on parts of a project of this size and fitting it into our spare time and getting a lot of it ready, preferably before Christmastime, will require our attention and sacrificing our time and effort. Please contribute of yourself!

Keep everyone updated on progress/setbacks.  Type your comments/ updates here (see them appear below only after you refresh the page):

Hello, Thursday night Tom, Chris and Claire Benson came to the park to help with taping the panels together. Thanks to their help, we completed that task. Thanks to help from Chris Fossati, we moved the backdrop panels to school Thursday before practice. With help from Shannon, Claire and Victoria, we cut the doors out and began setting up the back walls. Alice Melgoza and Chan Keouth and Amber came to help with this and Amber played photographer so you could see how it looks now. There's still some work to do Saturday during practice 1-5pm and afterwards, getting the panels ready for painting and practicing setup. We'll have to hold off the painting until after practice Saturday. Maybe pick them up then and paint Sunday? My best, Pete

Hello, Anyone wanting to help work on the backdrop panels please meet me tonight from 6-9pm at the WOL park. We probably won't complete them but we need to spend time soon to get them ready. Many thanks to Jerry Larson for his enormous effort with reinforcing the strength of the stages Sunday afternoon and his and Alison Brown's help moving the stages to school Monday evening.

Hello, Thanks to the help of some of the same folks who helped out earlier this week, we got the new stages, newly painted mat and the new side panels to the Aux. Gym today for the girls to practice on. Many folks stayed through the practice working on the props a bit more. We built a caster roller for the heavy concrete base for the lightpole too. Practice went well and we only have minor mods to the stages and the backdrop panels to complete. See some pictures here... http://tevlin.servehttp.com/Pictures/2009/2009-01-02/1click4pix.php

Ok sports fans… or I should say “Sport of the Arts” fans, After a good bit of effort this week from a relatively small number of our team members, we’re moving the new stages, newly painted mat and the new side panels to the Aux. Gym today, meeting at WOL park, 10851 Tryon, at noon. Then, back to the park while the girls practice to finish building the backdrop. All are welcome (encouraged) to participate.

Hello again, Hope everyone enjoyed their New Years celebrations! Happy New Year to you! Tomorrow, Friday, it’s time work on the props some more. The stages are progressing and it’s time to install the wheels. Only a few girls came Wednesday and applied tan paint over the existing color using mops to “splotch” it on there in various places. Images below. Tomorrow we’ll lay it out again and cover the rest of the areas with a darker brown. All are welcome to come and assist at the same location, 10851 Tryon Dr, anytime after 10am. See you there!
My best, Pete Tevlin
PS. If you’ve got a pickup truck and can plan to be at this location at Noon Saturday to help move the props back to school, that would be great! We need 4 trucks (or 4 trips in one truck). Bring a strap if you’ve got one. Thanks!

Alison Brown
I'll do it!

I can help on Saturday and I have a pick up truck. I also have a pretty large 2 horse trailer that we could use to move things. Let me know when.

Pete Tevlin
Oops, I neglected to mention and thank Sam Jones, who responded to my request for a truck and helped me out early today getting and transporting supplies! Also, extra appreciation goes to Laurie Fossati for taking the paint back to the hardware store for more color modification and Chris Fossati for helping with another hardware store trip. Thanks too to Chris Hillman for donating the 2x4” lumber!

Thanks Jay,
Thanks for the help today from a few girls and parents:

Hey Parents…

Since there is not practice until Saturday this week, the props really need to be worked on.  If your daughter is at home, just “chilling”…it would be nice if she would go by 10851 Tryon and lend a hand to those few girls and parents that are off work, but is still working a hard…making props.  If you can help tomorrow, please contact The Tevlin Family and let them know that you can assist.  I thank you in advance for your assistance!  Happy New Year!

Is there a specified time that you are meeting at the address below? Isn’t Wednesday Evening New Years Eve? You state that the materials list is ready for purchasing – What exact items are needed?

Edie
Thanks Pete! Please remember that after painting when dry, the floor needs baby powder so it won't stick together! I will unfortunately be unable to get calls or email from Tuesday thru Friday evening. Happy New Year!

Jay
No, reply back from them! I have called the pastor four times and have had no return call yet. Kris, would you mind contacting the Pastor Bill? Maybe he will respond to your calls. His information is as follows: Bill 281-89x-19xy. Thanks!

Here's something we need TO GET.
Here's something we need TO DO.
Hello, Merry Christmas to all color guard members and their families. I’m hopeful everyone enjoyed the holiday break. Before the next practice on Jan. 3rd I’m hopeful we can complete the props for the girls show. All that’s left to do is modify the stage and make the side and backdrop panels, then add some color (paint) to the existing floor program mat. The materials list is ready for purchasing and some components have already been acquired. We moved the stage and the mat to the White Oak Landing park pool deck area, 10851 Tryon Dr, where we’ll be doing the rest of finish this up. I’m planning to purchase the rest of the materials Tuesday morning and start working on it right afterwards, hoping to finish by Wednesday. Any assistance will be appreciated, especially the use of an open pick-up truck or two Tuesday morning and Wednesday evening. If you can come help, please bring tools, extra fasteners and any old paint you’ve got that is somewhere near brown and/or grey in color. Old mops would also be useful for splotching the paint on the mat. Hopefully we’ll have good weather! Thanks, Pete Tevlin

I think we can connect the separate sections of panels together using what's called a plywood clip, which should be available at hardware stores...

These may be too small though, and might tear up the panels after a few uses. But my thoughts are that:
We make the upper sections tape-hinged to the lower so they swing up into place.
We tape a few side by side panels together so they fold up in an accordion fashion,
then we connect these assemblies to the next assembly with slide-in slots we make up using flat plates on one of the
mating edges so they look like this plywood clip. I'm hopeful the diagonal panel in the corner will hold up the wall, keep it all from falling over.

Stage support box: An idea is to make the crate-like frame that we could lift and place the existing 8’ x 4’ stages onto along the back center edge of the mat. My son designed us a stage support box that can also be used to move/carry the panels, but we’ll have to shorten them slightly. See the following drawings. We need more contributors with their thoughts/suggestions/offer of time and help locations as to when and where we can get these projects done:
Purchasing and Construction, Foam-board Panels, Paint, Wood, Fasteners, Wheels.
Don’t buy any tape until I talk to the local 3M rep I know (who donated the black and white tape for rifle wrapping last year). He might help out again!

A few quick comments before the Thanksgiving holiday. Pete, that computer drawing is simply AWESOME! I think we should make all the left and right side backdrops with two of them so they'll easily stand up like other guards do, unless someone can think a way to make a stand for them that is moveable? Question about the car? Would it be possible for it to be sturdy enough for say one kid to climb on top? Just wondering...On painting the floor, I think Pete's idea of using dry mops to apply the brown paint is a good idea. I don't really want to splash like last year, I think the different texture would be good Maybe do some brown and tan or beige. We need to get ahold of Trader's Village and see if we can do it there? Or give me some nights that people want to work and I'll see if I can get the Ag Center. If I remember right, we could have it Tues thru Thurs but everything would have to be gone by Thursday afternoon. Assuming it's not already booked by some other group. While I'm out of town, please email me if you need something. I'll be able to check email and if necessary I can call you from there with my daughter's phone. The number will start with a 499 and won't cost you anything but minutes (if it's your cell phone.) Happy Thanksgiving everyone!!!

We need to schedule this!
I need help please!!
Saturday, November 22, 2008 02:23 PM

Hello,

Thanks Jay for the info and ideas and summarizing the main parts we’ll need. The ruins show props will take time and effort to build and will be people intensive to move in, place and remove on the day of the shows.

We’ll need a number of wheels that can mount to wood for rolling the box parts and some brown paint also for some color variety on the floor. We’ll need to build frame boxes for under (raising) the stages.

I’ve finally gotten time to finish up the drawings and have made a small 5 MB AVI, and a larger (higher resolution) 17 MB AVI, animation of the show props you can download/view, and a still image is included below. Please be thinking of ideas for connecting the panels together. Duct tape hinges is one possibility; we’ll need plenty of it.

To get this all done before Christmas would be great. Mrs. Williams would prefer we finish the raised back stages and a step up box, and possibly the back wall and side panels before Dec. 8th.

Let’s use the web page to get a conversation going on scheduling the build activities and keep it moving forward. If you have volunteered (or want to) and it’s not reflected on that page, please take a moment to fill out the form on the web page to have your contribution recorded. That’s the place to put directions to your home if you’re hosting a building event too please. I have not set up the emailing of notices when the page has been updated so check it occasionally and I’ll email if build events are scheduled so everyone can be reminded. Thanks everyone.  My best, Pete Tevlin

Subject: Supplies for Winter Guard Show
Good Morning, All!

Okay, we finally have the show props and equipment nailed down and wanted to relay the information to all of you. Pete Tevlin will be sending an email later with the proposed drawing of the buildings or a link attachment. For the show, we need the following materials:
1) 30-35 Sheets of Armex ( a form of insulation material builders use) to make the make-shift buildings for the back ground. The sheets are 8' x 4' (approximately $9/sheet).
2) Gray-Colored Latex Premier (10 Gallons of paint) the paint will be used for the building and the floor.
3) Double-Sided Carpet Tape - We may need this for the floor depending if we need to use re-do the floor or not. Our Top Secret Winter Guard link and login info: http://www.tevlin.org/colorguard/ruinsplan.html Username: guardrocks and Password: chrome
Please log on to the above link to give your thoughts or to review the notes.
If anyone has a friend or relative that can give us a discount on these materials (Home Depot, Lowe's or a home builder) it would be helpful. If not, we will be some fundraising fools! I am attaching a donation request letter above. Gwen Arhelger already received $50 from Wal-Mart. Margaret Turrentine has donated clothing and props to the show.

Kerrie Judd has built boulders, a light post & is creating a car. And Pete Tevlin has been a computer design graphics / set design fool. Again the shows start early January, and Mrs. Williams needs the girls to start practicing on the set in the next couple of weeks. I am also sending the link to the Texas Color Guard Circuit Site (http://www.texascolorguardcircuit.org) These are a list of the shows that we COULD perform at. Mrs. Williams will send out a more concrete schedule later. I am just sending out this information so everyone sees the urgency with regards to getting the props and equipment built.

Hi all, Finally got logged in using log in info that was in an email (I don't think it's my personal log in though?) Anyway, I guess I don't understand the box idea? Is that just boxes used as a platform for the large vinyl printed backdrops? Which way are we going printed back drops or 3D bombed out buildings? If we do the printed backdrops, can we still have a elevated stage area and what would that do to the perspective? Also, since the backdrops would look far away, I don't think we could use them for girls coming in and out of (as if they're hiding?) I am beginning staging at this Friday night's practice. We will need our larger floor and elevated stage area by the week of Dec 8 if possible.

Hi all,
Paul Riley is getting us the mats soon, until then we can't start on the taping/painting, Shelly.  And, we don't really know the image/color yet. I chose road gravel for the floor color in the drawings. Paul is also getting us many billboard sized sheets that are of the new material they're using that is just like the blue tarps you get at harbor freight or hardware stores. These are 30 lbs. each as opposed to the 70 lb vinyls.

Frank, Edie hasn't responded to the boxes/poles idea yet. I spoke to her last night and she'll take a look and let us know. We can't know the dimensions until the suspension method is defined. There is a form for donations. Click here: http://cyfairband.org/colorguard/Receipt-GenericDonation.doc

What I was thinking in the first drawing was to use war torn buildings pictures, and found these
for the example:

Just to document this... I found a place online that makes signs: http://www.illusionator.com/banners.htm Pricing — Up to 5' wide or up to 10' long, printed at 720dpi: $7/sq.ft.; or 5'-16' wide and 10'-150' long, printed at 360dpi: $5/sq.ft. They do the banner design for free. Sewing (for hems or pole pockets) and grommets are free. This would still add up to a lot of $$.

With that said, according to Edie, the floor or backdrop needn't be images painted/detailed, just look like building shapes - with damage. So, I think our focus should be on getting the method of getting the floor painted and the screen erected, colored greyish and looking torn up instead of printing a design.

Making a paper mache wrecked auto shape and some building corners and/or boulders/rubble and a lamp post and trash can should be on peoples minds too.

With all of that said, the platforms/boxes need to be our first priority because they need them to practice their movements. We'll dress them up later.
Thanks both of you for contributing! Pete

Arrgh! Yahoo hosting just doesn't let web forms work properly! If you submitted something and got an error, sorry. I moved the page to another web server I know is reliable. If you're reading this post, you found it okay. Bookmark this! http://www.tevlin.org/colorguard/ruinsplan.html

NOTE: You may need to add (install) the "AVI Splitter codec" to your Windows Media Player library to play the AVI videos created by my drawing program. Click http://www.free-codecs.com/XP_Codec_Pack_download.htm and click Download (7MB EXE) then open and install it. If you're having problems playing video downloaded from other sites too, this may help. A reboot is not required. I'll be making more of the videos to illustrate the show props.

Here are some drawings I'm working on for consideration...

Light canvas could be tied to and stretched between poles, hanging to the floor. Girls could enter and exit gaps between poles, which are removable. If possible, boxes could diminish in size and stack inside each other, with wheels on side of biggest box. Possibly floor mat won't extend underneath these platforms so both could be placed on stage simultaneously. Possibly a second higher set of platforms could be rolled into place behind the ones with poles. Boxes could also be arranged like this:

                                                                                          Box
                                                                           Box
                                                            Box
                                             Box
                             Box

or however desired if the drapes were made to accommodate:

< These 5 foot boxes are drawn to scale.

Hi, This is a test post to try out the form. Let's all get involved in some manner. Type what you think of this page or the ideas presented so far - that's a good first step!

11-12-08

Hello Color Guard parents,
For Mrs. Edie, Ms. B, Cody and the girls to be able to focus on their Winter Guard floor program routines, practice and costumes, we parents have been asked to please fabricate the floor mat and props that will make up the decoration/backdrop for the show. The girls may be able to devote some time and effort, but the main responsibility and impetus will be ours.
Judging from positive past results of our shows and seeing other teams props and performances, what the girls get out of this experience is entirely dependent on what they  put into their prep and practice, and to a significant amount, what effort we’ll expend to support them. We get more out of the end result too – pride wise!
This project an opportunity for all of us to be part of supporting their success as we make a contribution of time, money, materials and effort to the show result. When I say all, I mean all; because the scope of the project Edie has proposed at the meeting last Thursday will take a good bit of effort and we'll each and all be needed to get involved at least do or give something to contribute. If you can’t spend time perhaps you can contribute funds for materials.
If you missed the meeting, here are some choppy notes taken then...

Edie: Our 1st show Jan. 17th! The name of the winter guard show is Children of the Ruins. The motif/theme is post war, extreme distress. Kind of like Mad Max movies. We don't want the kids heads to be in a dark, dark subject - so the show is not to be called futuristic in that sense. The girls don't have much time to work on this. There is no A/B guard this year, all working together. The competition floor size limit is 60x90'. Our floor needs to be big because so many girls will be performing together, like 85x55 feet. Please parents, help out to make this happen. Jay copied and passed out a sketch of preliminary idea. Ask Paul for 5-7 billboards.

We’ll need some space to hide behind some kind of backdrop, solid panels or cloth/plastic sheet drapes? Drapes, tattered, burned, torn up like after an explosion. Backdrop could be made of Armex, a form of insulation material builders use, fastened to on something it can be set in and will roll/wheels/casters. Something to lock in the armex into to look like concrete or stucco. Doesn't need to be intricate or detail like brick outlines or such, just so it looks somewhat like a building shape.

The floor is many billboard sheets carpet-taped together and painted. Painting could happen at Ag center or Traders Village. Make backdrop look like damaged buildings. Prefer a car shaped prop to be placed on the mid-floor or edge, possibly paper mache'? Light, movable, stackable?

Would like platforms the girls can be raised up on, elevated levels are needed. Make stages/platforms first. So they can practice with them early in the game. Raised area  for looking thru window/hole in backdrop. Need stage to have steps or a low then higher level they can hop up onto.

It’s possible or preferable to have rough holes in walls, like bombed instead of a window?  Can we have broken off building corners as loose floor elements, like the auto wreck?

The show is 4 1/2 mins long. Full time on floor allowance is 8 minutes. Takes longer to set up and the more pieces, the more assistants will be needed. The 2 minutes setup time limits what we'll be able to do. There was an indoor drum line - Tower of Power name mentioned – a show that made it happen, had a big set. Edie is looking for any available video.

General discussion: Tami suggested use crackle paint and maybe on the floor for texture. Need to schedule ag barn or traders village for painting the mat. Craft shows may conflict. Pete showed a computer sketch he had made. It was a somewhat different interpretation of what Edie had described at the music intro meeting and we discussed it too.
Download/watch the computer sketch I brought to the meeting for discussion: 3MB AVI NOTE: You may need to add this codec to your Media Player to play this video: http://www.free-codecs.com/XP_Codec_Pack_download.htm

Can't have it full width and only low height. Can do two floors/levels high as long as we have stage pieces in place.

All items should roll and have to fit through double doors in a gym and not too high so it will fit. Need volunteers to work on the parts. Passed around a sign up sheet.

Alice, I believe, mentioned they have a neighbor who is involved in theater and is creative with this kind of stuff – might help. Some else noted the theater arts folks here are willing to help/advise too.

Jay: Well parents, are we ready to do this? Lets make it happen! Some other things: Volunteers Dec. 6th at The Met Family Readiness holiday party 9-4 Volunteer opportunity.Next weekend Garage sale in coles crossing, need 10 items per person. Bring priced items to their house. Grades are #1 Work on it so kids are getting their things done. There is help available as older girls will mentor so no one drops. Don't keep this quiet, ask for help! Respect each other at all times, can't use hurtful terms. Not tolerable. Be kind to each other.

Okay, here's a preliminary description of how we're going to make this happen...

A private web page for this project has been added to the color guard site where we can all monitor ideas and progress updates and contribute our own.

Here’s the link and login info:  http://cyfairband.org/colorguard/ruinsplan.html  Username:  guardrocks   and Password:  chrome

You can also get to this from a link on http://www.cyfairband.org/colorguard.html. The signup sheet we passed around is repeated on the web page. Mention in the form to be added to the list! Please bookmark this page and save the password in your browser so you can visit/contribute often!

A privacy concern: When discussing the show outside our group, keep the name and theme "mum" please. Only speak to the specifics of the project part at hand please. There is shock value in seeing/presenting the show without the audience (and especially the competition) having preconceived notions or advance viewing. Last year someone uploaded a video of our A Guard performance to YouTube early in the season. This and general discussion revealing the show specifics is to be discouraged. As proud as we are or our kids and their results, they deserve our decorum in this regard.

Okay, okay, enough already. Thanks everyone for reading! Let’s get ‘er done for our girls!

My best, Pete Tevlin

Good Morning, All!
This email is to cover last night’s Winter Guard Prop Meeting.  The following is a brief agenda:
Winter Guard Meeting
Mrs. Williams gave us a copy of a picture (see above attachment) of what she is wanting us to create for Winter Guard.  If we have any handy Mom’s or Dad’s…please let me know.  Two parents, Alice Melgoza and Pete Tevlin are working on ideas for two different set designs.  Once we narrow these ideas down, we will need everyone in order to get the Apocalypse Idea completed and ready to go.  We will also need to have the floor painted (large tarps).  If you have ANY ideas please send me an email message as soon as possible.
